SriReisen — How Bookings Work

These Booking Conditions explain the full process from first enquiry to confirmed booking, including your rights and obligations before and after a travel contract is formed.

1. Pre-Contract Information (EU Requirement)

In accordance with EU Directive 2015/2302, before confirming any booking SriReisen will provide all travellers — and in particular EU residents — with clear, comprehensive pre-contract information. This will include:

  • A full description of all included travel services (accommodation, transport, activities, meals)
  • The total price of the package, including all taxes and applicable fees
  • The payment schedule — including deposit amount and final payment deadline
  • Cancellation conditions and applicable refund rules
  • Contact details of SriReisen and, where relevant, the 24-hour emergency contact
  • Information on EU Package Travel rights where two or more services are combined
  • Recommendations regarding travel insurance

This pre-contract information is binding once a booking is confirmed and forms an integral part of the travel contract.

2. How to Make a Booking

Step 1 — Submit Your Enquiry

Contact SriReisen via the website contact form, email (info@srireisen.com), or WhatsApp (+94 76 585 3276). Tell us your preferred dates, number of travellers, interests, and any special requirements. This is not a booking — it is a request for a proposal.

Step 2 — Receive Your Proposal

We will prepare a personalised itinerary and price quote for you. All proposals are subject to availability and are valid for a limited period as stated in the proposal.

Step 3 — Review & Confirm

Review the proposal carefully. If you are happy to proceed, confirm your booking in writing (by email or WhatsApp). Please ensure all personal details provided are accurate and complete.

Step 4 — Pay the Deposit

A deposit is required to secure your booking. The deposit amount will be specified in your proposal. Your booking is not confirmed until the deposit (or full payment, if applicable) is received and SriReisen has sent written confirmation.

Step 5 — Receive Booking Confirmation

Once the deposit is received, SriReisen will issue a written booking confirmation by email. This confirmation marks the formation of a binding travel contract.

Important: A booking is only confirmed after:

(a) Written confirmation has been issued by SriReisen, AND

(b) The required deposit or full payment has been received.

Verbal agreements, WhatsApp messages, or enquiries alone do not constitute a confirmed booking.

3. Participant Information Required

To complete your booking, SriReisen requires the following information for each traveller:

  • Full name (as it appears on passport)
  • Nationality and passport number
  • Date of birth
  • Contact email address and phone number
  • Any dietary requirements or food allergies
  • Any relevant health conditions, disabilities, or mobility requirements
  • Emergency contact name and phone number

Providing accurate information is the responsibility of the traveller. SriReisen cannot be held liable for issues arising from incorrect or incomplete information.

4. Minimum Participation

Certain group tours and scheduled departures require a minimum number of participants to operate.

  • The minimum number, if applicable, will be stated in your proposal or booking confirmation.
  • If minimum participation is not reached, SriReisen will notify you no later than 20 days before the tour start date for tours lasting more than 6 days, or 7 days before for shorter tours.

In such cases, SriReisen will offer one of the following options:

  • An alternative tour of equivalent or comparable quality
  • Adjusted pricing to reflect the smaller group
  • A full refund of all payments made

Day tours and fully tailor-made tours are not subject to minimum participation requirements.

5. Special Requirements

5.1 Dietary & Accessibility Needs

SriReisen will make reasonable efforts to accommodate dietary requirements, allergies, and accessibility needs when notified in advance. Please inform us of any such requirements at the time of booking. We cannot guarantee that all requests can be fulfilled, particularly in remote locations, but we will always do our best to arrange suitable alternatives.

5.2 Minors

Travellers under the age of 18 must be accompanied by a parent or legal guardian. Some specific activities (e.g. white-water rafting, certain adventure sports) may have minimum age requirements. Please check the specific tour details or contact us to confirm suitability before booking.

6. Changes After Booking

6.1 Changes Requested by the Traveller

If you wish to change any aspect of a confirmed booking (such as dates, accommodation, or included services), please contact SriReisen as soon as possible. We will do our best to accommodate changes, but they are subject to availability and may incur additional costs.

Significant changes close to the tour start date may be treated as a cancellation of the original booking and a new booking, in which case the cancellation policy will apply.

6.2 Minor Changes by SriReisen

Minor changes to your confirmed itinerary may occasionally be necessary for operational, safety, or logistical reasons. These may include adjustments to:

  • Timing or order of activities within a day
  • Routing between destinations
  • Accommodation within the same quality category
  • Vehicle type or transport provider

These are considered minor operational adjustments and do not constitute a significant change. You will be informed of such changes as promptly as possible.

6.3 Significant Changes by SriReisen

If SriReisen must make a significant change to a confirmed booking — for example a major alteration to the itinerary, departure date, or a price increase of more than 8% — you will be notified promptly in writing and offered the right to accept the change, accept an alternative, or receive a full refund.

7. Booking Confirmation Document

Your booking confirmation will include:

  • Your full itinerary with dates, locations, and included services
  • Accommodation details (name, category, and location)
  • Payment schedule and outstanding balance
  • SriReisen’s contact details for your trip
  • Any specific notes or special arrangements confirmed for your trip

Please review your booking confirmation carefully and inform SriReisen of any errors within 48 hours of receipt.

8. Traveller's Responsibility to Check

It is the traveller’s responsibility to:

  • Ensure all details in the booking confirmation are correct
  • Hold a valid passport and obtain any required visas before travel
  • Check the current travel advisories for Sri Lanka issued by their home government
  • Arrange comprehensive travel insurance
  • Arrive at meeting points on time as specified in the confirmed itinerary
